n8n is a source-available (fair-code) workflow automation platform that connects the apps you already use — CRM, email, invoicing, e-commerce, WhatsApp — and eliminates repetitive manual work. A simple workflow starts from a few hundred euros, complex AI workflows reach 1,500–5,000 EUR, plus maintenance from roughly 50–150 EUR per month.
What n8n Is and Why We Use It
n8n is a source-available (fair-code, Sustainable Use License) alternative to Zapier and Make: a visual platform where you build automation workflows by connecting "nodes" — each node represents an app or an operation (read an email, create a CRM contact, issue an invoice). The essential difference from the competition is that n8n can run self-hosted, on your own server, with your data fully under your control.
At WebForge we use n8n as our main automation tool for three practical reasons:
- Data control. For Romanian companies processing personal data, the self-hosted option means customer data never transits third-party servers — a clear advantage from a GDPR perspective.
- Predictable costs at volume. Zapier charges per task, and Make per consumed credit. With self-hosted n8n you pay for hosting, not for the number of executions, so a workflow that runs 10,000 times a month costs the same as one that runs 100 times.
- Technical flexibility. n8n allows JavaScript code inside workflows, calls to any API (including Romanian APIs such as SmartBill, Oblio or ANAF) and native integration with AI models. Where Zapier stops, n8n is just getting started.
If you want a detailed comparison with the main competitor, we wrote separately about n8n vs Make — in short, Make remains a good option for simple workflows with no self-hosting requirements, but n8n wins on control, cost at volume and AI workflows.
What You Can Concretely Automate for a Romanian Company
Almost any repetitive process that involves moving information between two or more applications can be automated with n8n. Here are the categories we implement most often for Romanian companies:
Leads and Sales
- Web form → CRM + notification: every lead from the website enters the CRM automatically and the sales team gets an email or Slack notification within seconds.
- CRM ↔ email marketing sync: new CRM contacts automatically join the newsletter list and unsubscribes propagate back — no more manual CSV export-import.
- Automatic lead qualification: an AI model analyzes the form message and labels the lead by urgency and potential before anyone on the team even sees it.
Invoicing and Accounting
- Automatic SmartBill or Oblio invoicing: when an order is paid or a contract is signed, the invoice is issued automatically and emailed to the client.
- e-Factura: automatic submission of invoices to the Romanian SPV system and status monitoring — a process we detailed in our article on e-Factura automation.
- Reconciliation and payment reminders: invoices unpaid at the due date automatically trigger a polite reminder to the client and an internal notification.
E-commerce and Operations
- Order aggregation from multiple channels: orders from your website, eMAG Marketplace and other platforms gather in one place — a sheet, an ERP or a dashboard.
- Stock synchronization: when stock drops below a threshold, you get an alert or availability is updated automatically across all channels.
- Delivery notifications: the courier AWB status is sent automatically to the customer via email or WhatsApp.
Communication and Support
- WhatsApp Business integration: order confirmations, appointment reminders or automatic answers to frequent questions, directly on the channel Romanian customers use most.
- Automatic email classification with AI: support inbox messages are labeled by type (complaint, quote request, technical question) and routed to the right person.
- AI-generated replies: for repetitive questions, an AI model drafts a reply based on your documentation, which a human only reviews and sends.
Reporting
- Automatic weekly or monthly reports: sales, traffic, leads and payments aggregated from multiple sources and delivered as an email or document, with no one copying numbers from one tool to another anymore.
AI workflows deserve a special mention: the combination of n8n + language models turns automations from simple "data moving" into processes that understand content. We covered the topic at length in our complete AI automation guide.
Self-Hosted or n8n Cloud: Which One?
For most Romanian companies we recommend the self-hosted option, for data control and fixed costs; n8n Cloud remains a valid choice when you want to start fast, without your own infrastructure.
- n8n Cloud is the official hosted service: a monthly subscription (base plans start around 20–25 EUR/month), zero server administration, but your data transits n8n's infrastructure and you are limited by your plan's quotas.
- Self-hosted means n8n installed on a VPS managed by you or by us. Hosting costs for a decent VPS are in the range of 10–30 EUR/month, executions are practically unlimited and the data stays on your server — an important argument in GDPR compliance discussions, especially when customer data, invoices or conversations flow through the workflows.
The trade-off of self-hosting is responsibility: someone has to update n8n, run backups and monitor the server. That is exactly the role we cover through our maintenance packages, so you get the self-hosted advantages without the headaches.
How Much n8n Automations Cost: Honest Numbers
A simple automation workflow starts from a few hundred euros, complex AI workflows cost between 1,500 and 5,000 EUR, and maintenance plus hosting runs from roughly 50 to 150 EUR per month. The final price depends on the number of connected systems, the quality of their APIs and the business logic behind them.
| Workflow type | Example | Complexity | Indicative cost |
|---|---|---|---|
| Simple workflow, 2 apps | Website form → CRM + email notification | Low | 300–600 EUR |
| Medium workflow, 3–4 apps | Order → SmartBill invoice → client email → reporting sheet | Medium | 600–1,500 EUR |
| Complex or AI workflow | AI email classification + generated replies + routing | High | 1,500–5,000 EUR |
| Workflow ecosystem | Multiple interconnected processes (sales + invoicing + reporting) | Very high | from 5,000 EUR, estimated per project |
| Maintenance + hosting | VPS, updates, monitoring, minor adjustments | — | 50–150 EUR/month |
A few clarifications so there are no surprises:
- The ranges above are indicative — every quote we make starts from your actual processes, not from a fixed price list.
- AI workflows also have an operating cost: calls to language models are pay-per-use (typically from a few euros to a few dozen euros per month, depending on volume).
- A good automation pays for itself quickly: if a workflow saves 2–3 hours of manual work per week, the investment is usually recovered within a few months.

5 n8n Workflow Examples, Step by Step
The easiest way to understand n8n's value is to look at real workflows. Here are five examples we build frequently, described node by node:
1. New Website Lead → CRM + Team Notification
- A Webhook node receives the data from the website contact form.
- The data is validated and normalized (phone in standard format, email verified).
- The contact is looked up in the CRM: if it exists, it is updated; if not, a new one is created with source "website".
- The sales team gets a Slack or email notification with the lead details and a direct CRM link.
- The lead automatically receives a confirmation email with the estimated response time.
2. Paid Order → SmartBill Invoice → Client
- The online store sends a webhook when payment is confirmed.
- n8n picks up the order and customer data (including the tax ID for companies).
- The invoice is issued via the SmartBill API, with the correct series and VAT rates.
- The PDF invoice is automatically emailed to the client.
- A new row appears in the tracking sheet, and on error (for example an invalid tax ID) a human is notified immediately.
3. Automatic e-Factura Submission
- A scheduled trigger periodically checks for newly issued invoices.
- Each invoice is converted to the UBL XML format required by ANAF.
- The XML is submitted to the SPV via the e-Factura API, with certificate authentication.
- The workflow polls the status until validation and stores the proof.
- Rejected invoices land in an error list with the exact reason, for quick correction.
4. Support Inbox Triaged with AI
- An email node monitors the support inbox.
- Each new message is sent to an AI model that classifies it: complaint, quote request, technical question, billing.
- Based on the category, the message is labeled and routed to the right person or team.
- For frequent questions, the AI generates a draft reply based on internal documentation.
- A human reviews the draft and sends it — the final answer always stays under human control.
5. Weekly Business Report, with Zero Manual Work
- On Monday morning, a scheduled trigger starts the workflow.
- n8n gathers the data: sales from the e-commerce platform, traffic from analytics, leads from the CRM, payments from invoicing.
- The numbers are aggregated and compared with the previous week.
- Optionally, an AI model writes a natural-language summary: what grew, what dropped, what deserves attention.
- The report reaches the management team's inbox before the first coffee.
When n8n Is NOT the Right Choice
n8n is not a universal solution, and honesty obliges us to say where we do not recommend it. The main situations:
- Extreme enterprise volumes. At millions of events per day, a dedicated architecture (message queues, microservices) is a better fit than any visual automation platform.
- Critical latency. If the process must respond within tens of milliseconds — real-time payments, auctions, trading — n8n introduces unacceptable overhead. It is designed for business processes, not real-time systems.
- Very complex, constantly changing business logic. When the workflow essentially becomes an application, it is healthier to build an actual application, with tests and rigorous versioning, than a hard-to-maintain web of nodes.
- A single trivial task. If all you want is a notification on a form and nothing more, an existing native integration may be enough — there is no point paying for infrastructure.
When a client comes with such a case, we tell them directly and recommend the right solution, even if it is not the one we sell.
How We Work: From Audit to Documented Handover
Our process has four steps and its goal is that, in the end, you own and understand your automations, rather than becoming dependent on us.
- Process audit. We talk to your team and map the repetitive processes: what is done manually, how long it takes, where errors appear. The result is a prioritized list of automations, with an estimated impact for each.
- Prototype. We quickly build a working version of the workflow with the best impact/effort ratio. You test it on real data before committing to the full project.
- Implementation. We develop the final workflows, with error handling, failure notifications and logging — the difference between a "demo" automation and one you can rely on every day.
- Documented handover. You receive documentation for each workflow (what it does, what it connects, what to do when an error appears), full access to the n8n instance and a training session. Optionally, we stay on board through the maintenance package.
If you want to see what this would mean for your company, let's talk. The first conversation is free: you tell us how you work now, we tell you what can be automated and what it would cost — with numbers, not vague promises.
Frequently Asked Questions
How long does an n8n automation take to implement?
A simple workflow is ready within a few business days. Complex workflows with AI or multiple connected systems typically take 2–6 weeks, including testing on real data and documentation.
Do I need developers on my team to use n8n?
Not for day-to-day use — the workflows run on their own and the visual interface is easy to read. Building and modifying complex workflows does require technical experience, which is why we hand everything over documented and offer maintenance.
Is n8n safe for personal data, in the context of GDPR?
Yes, especially self-hosted: the data stays on your server, in the EU, without transiting third-party platforms. We configure workflows to process only the strictly necessary data and to keep history no longer than needed.
What happens if a workflow stops or an error occurs?
Every workflow we deliver includes error handling and automatic failure notifications, and failed executions can be retried from n8n. Through the maintenance package we monitor proactively and intervene before the problem affects the business.
Can I start with a single workflow and expand later?
Yes, we actually recommend it. You start with the workflow that hurts the most, see the result in numbers, then expand step by step. The n8n instance installed for the first workflow supports the next ones at no extra cost.
